What is our Refund Policy?


Refund Policy

  • Within 7 Days of Registration: Full refund available upon request.
  • After 7 Days of Registration: A $100 registration fee (or one quarter the cost of the registration) will be deducted from your refund.
  • Two Weeks Before Camp Starts: Refund requests will be honored, but 50% of camp fees plus the $100 registration fee will be deducted.
  • Less Than Two Weeks Before Camp Starts: No refunds will be issued.

Transfer Policy

1. Transfer Options:

  • You can transfer your registration to another individual that you find at no extra charge.
  • Alternatively, you can transfer to a different week of the same camp level if there’s space available.

2. Deadline:

  • All transfer requests must be finalized at least two weeks before the camp’s start date.

This policy ensures flexibility for participants while maintaining the camp’s ability to plan effectively. 

*No refunds or credits for absences, dismissal, weather, voluntary withdrawal, or changes to the camp schedule deemed necessary by the director.

What is our Safe Bike Policy?

We believe that children who show up on well-fitted, properly maintained bikes have the best and safest camp experience and that if you are applying for anything other than Learn to Ride or First Wheels, you should be on a bike with working gears.  We require a safety check by a local mechanic and a signed note from a mechanic which can be found here:

What does a typical day look like?

A typical day at CLT Bike camp, for all but our Learn to Riders, is planned so that we can do a little work every day on ride safety.  We work a bit daily on skills that are lacking in our group through drills and games.   Children are allowed to take snack and drink breaks when needed (we allow children freedom about when and where to eat snacks and lunch, though we will offer reminders to children who are more forgetful about eating).  Sometime during the morning, we head to a first location/park where we may play games or enjoy the scenery and have our lunch stop. 

For full-day campers, we will visit a second location after lunch.  Most days include a water feature for getting wet.  For all of our rides, we use pre-scouted routing with a combination of greenways and neighborhood streets.  As you might imagine we begin with shorter and more greenway-oriented rides and build as our skills progress.  Thursdays are our long ride days when we explore the south end of LSCG and may ride down to Pineville on the greenway, or for our older children, the state line.  On Fridays, we have an “all camps ride” where our campers get to show off what they’ve learned with a parade through uptown.

What will my child need for camp?

Your child will need a well-fitted bike that has been safety checked (gears are necessary for Rolling Ready and up), and a helmet that is the right size for your child’s head and has no visible signs of damage or extreme wear.  Two refillable water bottles.  A secure backpack (no string bags or one-strap sling bags allowed, as these are typically not safe for riding).  The backpack needs to carry their needs for the day.  A small towel, lunch and snacks, and a small game for sharing if desired (no video games) or a book.

What is our Inclement Weather Policy?

During the summer months, we ride in all types of weather including light rain. The only issue we occasionally feel like we can’t safely deal with is extended storms and heavy rain.  For passing storms it is our general rule to seek cover until the storm passes, but if storms and heavy rain are to be in the forecast for a larger portion of the day, we may call for a late drop-off or early pick-up, sometimes at an alternative location where we are seeking cover.  When heavy rain will be present all day, we do cancel the camp day.

We try and keep an eye out during the day for passing weather so that we are always well-prepared for changes. We do not offer refunds for inclement weather, but we do try and avoid late drop-offs and early pick-ups whenever possible. However, it is important to be available for your child and to always remember to provide a number where you or your contact for the day can be reached.  Please remember that we are a traveling camp and that the most important thing to us is your child’s safe experience of cycling.

What is our Behavior Policy?

Most of our counselors are very experienced at working with children, so we do our best to maintain a positive atmosphere at our camps.  However, whenever someone’s behavior interferes with our camp safety, and in particular our road safety, we have very specific rules.  We first give a warning to the child, and let them know that if the behavior occurs again, we will speak with their parent/s.  If the behavior does occur again, we will speak with the parent and the child together about the behavior.  That is considered the final warning.

After that, if the behavior occurs again, your child will be asked to leave camp for the rest of the week.  We believe that having these set consequences in place lets all of our families know where the boundaries are, and lets our children know what our expectations are when we are managing them in public spaces.

What is our Inclusion Policy?

CLT Bike Camp has always been and continues to be a welcoming and inclusive environment for as many types of children as possible.  We are used to differences in children and we welcome them.  We believe that spending time with people who are different from oneself sets everyone up for success in the larger world.  Our counselors model kindness to all of our children, and we set that expectation on the first day of camp by letting children know that one of our most important rules aside from safety is being kind to everyone at camp.
